This Privacy Policy explains how Guestcam processes personal data when using the Guestcam online platform, which allows event organisers to create private galleries for uploading, viewing and downloading photos and videos from events.
1. Who we are
Guestcam is an online service for private collection of event photos and videos through a QR code or private link.

2. Role of Guestcam and the event organiser
There are two different roles when using Guestcam.
For data processed for platform management, orders, payments, user accounts, support and communication, Guestcam generally acts as the data controller.
For photos, videos and other content uploaded by guests into a specific event gallery, the event organiser is generally the data controller. The organiser decides why the gallery is used, who may access it, how long it remains active and how guests are informed. Guestcam acts as a data processor, providing the technical platform for uploading, storing, displaying and downloading content on behalf of the organiser.
3. Personal data we process
We may process the following types of data:
Organiser data:
name, email address, phone number, company details, billing details, order data and support communication.
Guest data:
photos, videos, name or nickname if entered by the guest, upload time, technical usage data, IP address and device data.
Photos and videos:
Photos and videos may contain images of people. If a person is identifiable, the content may be considered personal data.
Technical data:
IP address, device type, browser, access time, log files, cookies and similar technologies needed for platform operation and security.
4. Purposes of processing
We process personal data for the following purposes:
- creating and managing events;
- enabling photo and video uploads;
- displaying private galleries to the organiser and people with access links;
- enabling downloads of photos and videos;
- processing orders, payments and invoices;
- providing technical support;
- preventing abuse, unwanted content and security incidents;
- improving the platform;
- complying with legal obligations;
- communicating with organisers and users.
5. Legal basis for processing
We process personal data based on one or more of the following legal bases:
- performance of a contract or service;
- consent;
- legitimate interest, such as security, abuse prevention and service improvement;
- compliance with legal obligations, such as tax and accounting duties;
- instructions of the event organiser, where Guestcam acts as a processor.
The event organiser is responsible for ensuring an appropriate legal basis for the use of photos and videos in the gallery and for informing guests clearly about the use of the Guestcam gallery.
6. Event photos and videos
Guestcam allows event organisers to create private online galleries where guests may voluntarily upload photos and videos from the event.
Guestcam is not the event organiser and does not decide which photos or videos are uploaded. The organiser is responsible for informing guests and participants about the gallery, the purposes of processing, the storage period and their rights.
Guests should not upload photos or videos of people who clearly do not wish to be photographed or displayed in the gallery. Extra care should be taken with photos of children, employees, sensitive situations or content that may reveal health data, religious beliefs or other sensitive information.
7. Children
Guestcam is not intended for direct use by children without adult supervision. If an event includes children, the organiser must ensure an appropriate legal basis and, where required, parental or guardian consent.
Requests to remove photos of children will be treated with priority in cooperation with the event organiser.
8. Gallery access
Galleries are not publicly published. Access is provided through a private link or QR code supplied by the organiser.
Anyone with the link or QR code may potentially access the gallery unless the organiser enables additional restrictions. The organiser is responsible for sharing the link securely and deciding who may access the gallery.
9. Data retention
Photos, videos and galleries are stored only for as long as necessary to provide the service or for the period agreed with the organiser.
After the retention period expires, content is deleted or anonymised unless longer retention is required for legal obligations, dispute resolution, abuse prevention or security reasons.
Accounting and business records are retained in accordance with applicable law.
10. Sharing data with third parties
We do not sell personal data.
We may share data with trusted service providers who help us operate the platform, such as:
- hosting and server infrastructure providers;
- email service providers;
- payment service providers;
- analytics and security tools;
- accounting and legal advisers;
- authorities where required by law.
We enter into appropriate agreements with service providers and require them to protect personal data.
11. Transfers outside the EU/EEA
Where personal data is transferred outside the European Union or European Economic Area, we use appropriate safeguards such as standard contractual clauses, adequacy decisions or other lawful transfer mechanisms.
12. Security
We use reasonable technical and organisational measures to protect personal data against unauthorised access, loss, misuse, alteration or disclosure.
However, no system is completely secure. Organisers should share gallery links carefully and only with people they want to grant access to.
13. Individual rights
Individuals may have the following rights:
- right of access;
- right to rectification;
- right to erasure;
- right to restriction of processing;
- right to object;
- right to data portability;
- right to withdraw consent where processing is based on consent;
- right to lodge a complaint with a supervisory authority.
In Slovenia, the supervisory authority is the Information Commissioner of the Republic of Slovenia.
If you want a photo or video removed from a gallery, please contact the event organiser first. You may also contact Guestcam support at info@guestcam.si and we will handle the request within a reasonable time, where necessary in cooperation with the organiser.
14. Cookies
Guestcam may use necessary cookies for website operation, security, login and basic platform functions.
If we use analytics or marketing cookies, we do so in accordance with applicable law and, where required, after obtaining consent.
15. Organiser responsibility
The event organiser confirms that they will inform guests and participants about the use of the Guestcam gallery, ensure an appropriate legal basis for processing photos and videos and respond to participant requests relating to gallery content.
The organiser is responsible for any content they share, download, publish or use outside the Guestcam platform.
